Easy way to backup mail files

This is a discussion on Easy way to backup mail files within the lotus-notes-admin forums in Other Technologies category; Many of the mail files in our company have grown too large. Some are larger than 2GB. In the next few days, I'm going to ask the users to delete messages older than January 1st 2007, but I'm pretty sure they'll start complaining, so I'll have to find an easy way for them to backup. My time is too valuable to start making local copies on each user, so I'm wondering whether there's an easier way for them to do it themselves. I could always send some instructions together with the warning message. Thanks!...

Default Easy way to backup mail files

Many of the mail files in our company have grown too large. Some are larger
than 2GB. In the next few days, I'm going to ask the users to delete
messages older than January 1st 2007, but I'm pretty sure they'll start
complaining, so I'll have to find an easy way for them to backup. My time is
too valuable to start making local copies on each user, so I'm wondering
whether there's an easier way for them to do it themselves. I could always
send some instructions together with the warning message.

Tape? Surely you backup your server regularly?
Archives? Perhaps you might want to look at setting up local archiving?

We backup our servers on daily basis. The problem is, each mailbox with the
older messages must be available to each user anytime, in case he/she wants
to use it as a reference or whatever.
A solution would be to create a local database containing messages before
01-01-2007 on each user, and delete those messages on the Domino database.
Then just compact it. But then again, this would take lots of my valuable
administrating time.
Archives would be a solution, but I haven't done it before. You see, my
exprerience on the Domino enviroment is not so much.

Well, the documentation on notes archiving is really good. Have a look
in the administration help database. You can set policies to configure
archiving in R6/R7.
